North Shore Notary Co. (“we,” “us,” “our”) operates as a DBA of The Deady Group LLC and provides notary and related services to clients in Massachusetts. We are committed to protecting your privacy and handling your information with the highest level of care, in compliance with Massachusetts law, applicable federal requirements, and professional notary standards.

This policy explains how we collect, use, store, and share your personal information when you:

  • Use our notary services (in person or remotely)

  • Visit our website or contact us online

Sensitive Information:
We do not intentionally store Social Security numbers, medical records, or other highly sensitive data, but we may temporarily handle such information when it appears in documents for notarization. These materials are securely destroyed after use unless required to be retained by law.

  • Online forms and scheduling tools

  • Phone, text, or email communications

  • Remote Online Notarization (RON) platforms (future service, MA presence required)

  • Website tracking tools (cookies, Google Analytics, Wix analytics)

We use your information to:

  • Verify identity and perform notarial acts

  • Maintain legally required notary records (journal entries)

  • Schedule and confirm appointments

  • Process payments and issue receipts

  • Communicate with you about services or follow-up needs

  • Comply with applicable laws, court orders, and notary regulations

5. How We Store and Protect Information

Physical Records:

Stored in a locked cabinet with restricted access.
Digital Records: Stored in a secured OneDrive Business account on a password-protected device. Email encryption and secure file sharing are being implemented.


Retention:

Notary journal entries and related records: retained for 7 years as required by Massachusetts law (cannot be deleted upon request).

Other personal data (emails, CRM records, online form submissions): retained only as long as necessary for business or legal purposes.

6. Sharing and Disclosure

We may share your information with:

  • Cloud storage providers

  • Payment processors (Square, Wave, PayPal, Venmo, Zelle)

  • Scheduling and CRM software providers

  • Mailing and document delivery services

  • Partners assisting in service delivery

We also may disclose information when required by:

  • Court orders or subpoenas

  • State notary laws and investigative requests

  • Law enforcement or other legal authorities

Third-party providers maintain their own privacy policies, which govern their handling of your data.

7. Cookies and Website Tracking

Our website uses cookies and similar tracking technologies for functionality, analytics, and improvement of services. By using our site, you consent to this tracking. You may adjust your browser settings to limit or block cookies, though some features may not function properly.

You have the right to:

  • Request access to personal information we hold about you (excluding unrelated journal entries)

  • Request correction of inaccurate personal information

  • Request deletion of personal information we are not legally required to retain
